Madness Fastpitch — Player & Parent Terms and Conditions
By accepting a roster position and subscribing to the player fee payment plan,
the player (and parent/legal guardian, if the player is under 18) agrees to
the following terms. Please read carefully before submitting payment.
1. Acceptance of Roster Position
Roster positions on Madness Fastpitch are offered selectively and held in
limited supply. Once a position is formally accepted — defined as the
parent/guardian completing the online subscription and authorizing the first
payment — that roster spot is considered claimed and committed to the player
for the full season.
2. Player Fee & Payment Plan Authorization
The player fee is collected in five (5) scheduled installments charged
automatically to the payment method provided at checkout.
By subscribing, the parent/guardian expressly authorizes Madness Fastpitch
(and its payment processor) to charge the card or account on file for all five
scheduled installments, on the dates listed at checkout, without requiring
additional approval for each charge. It is the parent/guardian's
responsibility to keep the payment method on file current and funded.
If a scheduled payment fails, Madness Fastpitch will attempt to re-run the
charge and notify the parent/guardian. Repeated failed payments may result in
suspension from team activities until the account is brought current.
3. No Refunds — Under Any Circumstances
All payments made to Madness Fastpitch are final and non-refundable. This
includes — but is not limited to — circumstances involving:
- Voluntary withdrawal from the team at any point in the season
- Injury, illness, or medical inability to participate
- Schedule conflicts, school activities, or family commitments
- Relocation or change in personal circumstances
- Disciplinary suspension or removal from the team for cause (see Section 7)
- Dissatisfaction with playing time, position, coaching, tournament selection,
or team performance
- Cancellation of individual games or tournaments due to weather, venue
issues, or circumstances outside the team's control
Player fees are committed in advance toward tournament entry fees, field
rentals, umpire fees, coaching staff, insurance, equipment, uniforms, and
other operating costs. Once funds are committed on the team's behalf, they
cannot be recovered, and therefore cannot be refunded to individual families.
4. Failure to Complete the Payment Plan
A player who does not complete all five (5) scheduled payments will be
considered not in good standing and will not be permitted to participate in
team practices, games, or tournaments until the balance is paid in full.
Failure to complete the payment plan does not entitle the player or family to
a refund of any previously paid installments. Partial payments already
received remain non-refundable, as those funds have already been committed to
team expenses on the player's behalf.
If the balance remains unpaid through the end of the season, Madness Fastpitch
reserves the right to pursue collection of the remaining balance and to
decline future roster offers to the player.
5. Additional Costs Not Included in Player Fee
The player fee covers core team operating costs. The following expenses are
the responsibility of the family and are not included in the player fee unless
explicitly stated:
- Travel, lodging, fuel, and meals for out-of-town tournaments
- Optional uniform items, spirit wear, and accessories
- Personal equipment (glove, bat, cleats, helmet, batting gloves, etc.)
- Individual lessons, private coaching, or off-team training
- Player insurance beyond what Madness Fastpitch carries as an organization
6. Attendance & Commitment
Travel softball requires a serious time commitment. By accepting a roster
position, the player and family commit to:
- Attending scheduled practices, team workouts, and tournaments to the best of
the player's ability
- Communicating known conflicts (school events, family obligations, etc.) to
the coaching staff as early as possible
- Arriving on time, in proper uniform, with required equipment
- Representing Madness Fastpitch with effort, sportsmanship, and respect at
every event
Repeated unexcused absences may affect playing time and roster status. As
stated in Section 3, removal or reduction in playing time does not entitle the
family to any refund.
7. Code of Conduct
Players, parents, and guardians agree to conduct themselves in a manner that
reflects positively on Madness Fastpitch at all team events, tournaments,
hotels, restaurants, and on all team-related social media.
The following may result in disciplinary action, suspension, or removal from
the team:
- Abusive, threatening, or disrespectful behavior toward coaches, umpires,
opposing players, opposing parents, tournament staff, or Madness Fastpitch
teammates and families
- Use of alcohol, tobacco, vaping products, or illegal substances by players
at any team event
- Damage to facilities, hotels, or property at team events
- Public criticism of coaches, teammates, or the organization on social media
- Any conduct deemed unsafe or detrimental to the team
Removal from the team for a Code of Conduct violation does not entitle the
family to a refund of any portion of the player fee.
8. Coaching Decisions
All decisions regarding positions, batting order, playing time, lineup,
tournament selection, roster moves, and team strategy are made at the sole
discretion of the Madness Fastpitch coaching staff. Disagreement with coaching
decisions is not grounds for a refund.
Parents are asked to follow a 24-hour rule before approaching coaches with
concerns about playing time or game decisions, and to do so in private — never
during or immediately after a game, and never in front of players.
9. Medical Authorization & Liability Release
By accepting a roster position, the parent/guardian:
- Certifies that the player is physically able to participate in fastpitch
softball activities
- Authorizes the coaching staff and tournament medical personnel to seek
emergency medical care for the player if the parent/guardian cannot be reached
- Acknowledges that softball involves inherent risks of injury, including but
not limited to contact with the ball, bat, ground, fences, and other players
- Releases Madness Fastpitch, its coaches, volunteers, and affiliates from
liability for injuries sustained during team activities, except in cases of
gross negligence
- Confirms that the player is covered by a current health insurance policy, or
accepts full financial responsibility for any medical care required
10. Photo & Media Release
Madness Fastpitch may take photographs and video of players at practices,
games, tournaments, and team events for use on the team website, social media,
promotional materials, and recruiting content. By accepting a roster
position, the parent/guardian grants permission for the player's image and
first name to be used in these materials.
If a family wishes to opt out of media use, they must notify Madness Fastpitch
in writing at the time of registration.
11. Weather, Cancellations & Schedule Changes
Tournament schedules, practice times, and event locations are subject to
change without notice due to weather, venue availability, tournament director
decisions, or other factors outside Madness Fastpitch's control. Cancelled or
rescheduled events do not entitle the family to a refund of any portion of the
player fee, as tournament entry fees are typically paid in advance and
non-refundable to the team as well.
12. Changes to These Terms
Madness Fastpitch may update these Terms and Conditions from time to time. The
current version will always be available on the team website. Continued
participation after an update constitutes acceptance of the revised terms.
13. Governing Law & Disputes
These Terms are governed by the laws of the State of Ohio. Any dispute arising from these Terms or
participation in Madness Fastpitch shall be resolved through good-faith
discussion first, and if unresolved, through binding arbitration in the home
county of the organization.
14. Acknowledgment
By checking the agreement box at checkout and submitting payment, the
parent/legal guardian confirms that they:
- Have read and understood these Terms and Conditions in full
- Authorize the five-payment installment plan as described in Section 2
- Understand and accept the no-refund policy described in Section 3
- Understand that failure to complete all five payments will result in the
player being held out of team activities, with no refund of previous payments
(Section 4)
- Are entering into this agreement on behalf of themselves and the named
player
